AI receptionist for landscapers: landscaper measuring a narrow side access with a garden plan in hand
01 · The problem

Why landscapers miss the big backyard jobs

Spring rings while you are knee-deep in a trench, and the enquiry that matters arrives while you are still packing up.

The challenge

Big jobs and small jobs ring the same number

A full backyard build and a hedge trim need very different visits.

How Johnni fixes it

Johnni works out the size of the job and books it the right way.

The challenge

Site visits need details first

Plans, budget and machine access decide whether the job is real.

The challenge

The spring rush overwhelms the phone

September brings more calls than you can return.

How Johnni fixes it

It answers every call at once and books visits into the weeks you are in that area.

Why landscapers lose quotes

The enquiry rings at 5:30pm, and you are still on site.

Landscaping enquiries arrive after work and at the weekend, when people are standing in the yard they want changed. Landscapers are on site until dark and then driving home. The call goes to voicemail, the homeowner rings the next name, and the next name answered.

The other half of the problem is the site visits that should never have happened: no budget, no access, a suburb an hour away, or a job that turns out to be a mow.

  • Answers evenings and weekends, when enquiries actually come
  • Asks plans, budget, access and timing before booking a visit
  • Groups site visits by suburb into the days you are already there
  • Books maintenance into the run if you do it, refers it if you do not
  • Sends the customer a text asking for photos of the yard

The twenty five thousand dollar backyard rings at half past five on a Thursday, while you are still packing the trailer.

03 · How it works

A backyard build, a garden tidy, or a retaining wall.

Design and build

A new backyard, a front garden, a pool surround. Johnni asks whether there are plans or a designer, the rough budget range, when they want it done, and whether a bobcat can get through the side gate. That last one changes the quote more than anything.

Maintenance

Mowing, hedging, mulching, a monthly tidy. If you do it, Johnni takes the block size, the frequency and the suburb and books it in. If you do not, it says so and gives the name of someone you refer to.

Structural work

Retaining walls, drainage, paving, turf. Metres, heights, what is there now, and whether there is a slope or a council matter. Enough for the estimator to know which van and which day.

A worked call

A backyard with no plans and no side access.

Inbound call, 5:35pm Thursday
Caller

Hi, we want to redo our whole backyard and were hoping to get someone out to look at it.

Johnni

Happy to help. What are you hoping to do out there, roughly?

Caller

New lawn, a paved area for a table, some garden beds along the fence, maybe a small retaining wall at the back.

Johnni

Sounds like a proper job. Do you have any plans or drawings, or is it ideas at this stage?

Caller

Just ideas and a few photos from Pinterest.

Johnni

That is fine, most people start there. Do you have a budget range in mind so we bring the right person out? Even a rough one helps.

Caller

We were thinking twenty to thirty thousand.

Johnni

Thanks, that is a good range for what you described. One more thing that matters a lot: can a small machine get into the backyard? Is there a side gate, and roughly how wide?

Caller

There is a gate, but it is narrow. Maybe a metre.

Johnni

Good to know, that shapes how we do the wall and the excavation. What suburb are you?

Caller

Ferny Grove.

Johnni

Our estimator is in that area on Wednesday. 10am or 2pm?

Caller

2pm.

Johnni

Booked for Wednesday 2pm. I will text a confirmation and, if you can, send those Pinterest photos back to that number.

Scope, plans status, budget range, machine access and suburb captured. Site visit booked on a day already in that area. The estimator knows it is a wheelbarrow job before she arrives.

07 · Questions

Frequently asked questions

Will it qualify a design and build enquiry?

It asks the scope, whether plans exist, a budget range, timing, machine access and the suburb. Your estimator arrives knowing whether it is a wheelbarrow job or a bobcat job.

Does it ask about access?

On every build call. Side gate width, slope, whether a machine or a truck can get in. It is the question that changes a quote the most and the one most often missed on voicemail.

Can it handle maintenance calls?

If you do maintenance, it takes the block size, the frequency and the suburb and books it into the run. If you do not, it says so politely and refers them if you give it a name.

Can it group site visits by area?

It reads your calendar and offers the day you are already in that suburb first, so the estimator is not crossing the city for one visit.

What about after-hours enquiries?

They are answered, because that is when landscaping enquiries arrive. The homeowner standing in the yard at 5:30pm gets a booking, not a message bank.

How much does it cost?

Plans start at $49 a month plus GST, or $44 a month paid annually, up to $899 for the highest call volumes. Every plan includes a set number of calls and minutes, then a per minute rate, with a 7 day free trial and no lock-in contract.
